How to Hoist Zoom into Apple Calendar

Apple Calendar has no Zoom add-on. Google Calendar has one; Apple does not, which be why this be more awkward than it should be. There be two ways round it, and which one ye want depends on who be doin' the schedulin'.

The short o' it

If ye be the one schedulin' the parley, the Zoom desktop app can put it straight into Apple Calendar. If other folk book time with ye, that route stops workin', and ye want the link crafted fer ye.

  • Schedulin' it yerself? Use the Zoom desktop app and choose yer Mac calendar when ye schedule. Takes a few seconds, every time.
  • Other folk bookin' ye? Lash on Apple Calendar and Zoom to a schedulin' tool once, and every bookin' gets its own Zoom link automatically.

Schedulin' a Zoom parley into Apple Calendar yerself

The Zoom desktop app on macOS can hand a parley to Apple Calendar directly, without any add-on:

  1. Open the Zoom desktop app and click Schedule, matey.
  2. Set the time and options as usual, savvy.
  3. Under Calendar, pick yer Mac calendar rather than Google or Outlook, then stow. Apple Calendar opens with the parley and its join link already filled in.

If ye already have a Zoom link, ye can also just craft an event in Apple Calendar and paste the link into the location or notes field. Both work. Neither scales.

Where that stops workin'

The manual route assumes ye be the soul choosin' the time. The moment other folk be bookin' time with ye, it breaks down:

  • Ye have to craft every parley by hand, before or after agreein' a time by email.
  • Someone bookin' ye cannot generate a Zoom link, so they wait on ye fer it.
  • Reschedules mean mendin' two things, and it be easy to move the calendar event while leavin' the old Zoom parley behind.

Gettin' the Zoom link created automatically

This be what CalendarPA does. Ye lash on both accounts once, and from then on every bookin' carries its own Zoom parley:

  1. Lash On Apple Calendar

    Apple uses an app-specific password rather than a normal sign-in, so ye generate one in yer Apple account settin's and paste it in. CalendarPA reads yer availability from it and writes confirmed bookin's back to it.

  2. Lash On Zoom

    Authorize CalendarPA from Ship's Riggin', under Conferencin'. It gets permission to craft and scuttle parleys, and nothin' else.

  3. Set a bookin' type to Zoom

    Choose Zoom as the port on any bookin' type. From then on, every time someone books that type, a Zoom parley be crafted fer that exact slot and the join link lands on the calendar event and in both confirmation emails.

Two things worth knowin' first

  • Apple Calendar connects with an app-specific password, not by signin' in with Apple. Ye generate one at appleid.apple.com. This be an Apple requirement fer calendar apps, not somethin' specific to CalendarPA.
  • Confirmed bookin's be written to yer Apple Calendar as they happen. Readin' the other way round be slower: Apple does not support the push notices Google and Microsoft do, so events ye add elsewhere be picked up on a regular poll rather than instantly. In practice that only matters if ye add a clashin' event and someone tries to book the same slot within a few minutes.

Common questions o' the deep

Does Apple Calendar have a Zoom hookup?

Not in the way Google Calendar does. Google has a Zoom add-on from the Workspace Marketplace that adds a button inside the calendar. Apple Calendar has no add-on system, so there be nothin' equivalent to install. Ye either let the Zoom app push parleys into Apple Calendar, or use a schedulin' tool that writes the link onto the event fer ye.

How do I add a Zoom parley to Apple Calendar?

Open the Zoom desktop app, click Schedule, and choose yer Mac calendar under the Calendar option. Apple Calendar opens with the parley and join link prefilled. If ye already have a link, craftin' the event yerself and pastin' the link into the notes works just as well.

Can a Zoom link be crafted automatically when someone books me?

Aye, but not by Apple Calendar or Zoom on their own, neither knows when someone wants to meet ye. Ye need a schedulin' layer in between. Lash on Apple Calendar and Zoom to CalendarPA, set a bookin' type's port to Zoom, and each bookin' gets its own parley without ye touchin' it.

Does the Zoom passcode come through, or do invitees have to type it, matey?

It comes through. The link put on the calendar event be the join URL Zoom itself generates, which carries the passcode when one be set, so invitees click through without typin' anythin'.

Why be there no Zoom link on me calendar event?

Most often the bookin' type's port be not set to Zoom, or the Zoom account was never lashed on. Check Ship's Riggin', then Conferencin', and confirm Zoom be lashed on; then open the bookin' type and confirm Zoom be selected as the port. Bookin's made before both were true will not have links added retroactively.

Does this work with Google Calendar and Outlook too, matey?

Aye. The same riggin' works with Google Calendar and Outlook, and those two also support push updates, so changes made elsewhere be reflected faster than with Apple.
