Crews and fleets
A reference fer crews, fleets and armadas buyin' CalendarPA together, and fer the folk who hold the seats. If ye want the short version o' why to do it, that be on the fleets page. This one be the detail.
How berths work
One seat be one full Business-tier CalendarPA account, the same plan sold individually at $25.00 a month. It be not a restricted sub-account o' the owner's. The soul in the seat has their own login, their own data and their own schedulin' page, and it costs 'em nothin' personally. The owner takes the first seat.
- The smallest fleet ye can buy be 2 seats. That be a cap'n plus one other soul.
- Crewmates join by invitation. An invite that nobody accepts expires after 14 days, and an expired one cannot be revived, so send a fresh one from the Crewmates tab.
- An invitee does not need a CalendarPA account first. If they already have one, acceptin' attaches the account they have; nothin' be replaced.
- Every accepted invite takes a seat. If there be no free seats, add seats on the Ledger tab before invitin'.
- A soul can be an active crewmate of exactly one fleet at a time. Someone already in another fleet has to leave it before they can accept.
- An owner or first mate can haul a crewmate ashore, which stops their schedulin' page takin' new requests but touches nothin' they own, or cast 'em off, which frees the seat.
What berths cost
Seats be priced in bands, and the bands be graduated: a band's rate applies only to the seats inside that band, the way a tax bracket works. It be not the price o' yer whole order.
| Berth numbers | Rate on the berths in that band |
|---|---|
| Berths 1 to 9 | $22.00 each, a moon |
| Berths 10 to 24 | $19.00 each, a moon |
| Berths 25 to 49 | $18.00 each, a moon |
| Berths 50 to 99 | $17.00 each, a moon |
| Berths 100 to 199 | $15.00 each, a moon |
| Berth 200 and up | Priced with our crew rather than off the rate card |
Up to 199 seats ye can buy online without talkin' to anyone. Above that, and fer anyone below it who needs an invoice rather than a card, we quote ye directly. Custom contracts, multi-year locked pricin' and Net-30 invoice billin' be all available.
A worked example, matey: 10 seats
- Berths 1-9 at $22.00$198.00
- Berth 10 at $19.00$19.00
- Grand Total$217.00 a moon
It be not 10 seats at $19.00, which would be $190.00. The earlier seats keep their earlier rate. This be also why yer total never falls when ye add a seat, and why crossin' into a cheaper band does not reprice the seats ye already had.
Monthly or yearly
Prepay a year and take 15% off every seat, matey. The 10-seat example above becomes $184.45 a month, billed once at $2,213.40 fer the year.
What the savin' actually be
Savings be measured against the individual Business plan, at the same cadence: $25.00 a month, or $20.00 a month effective if that plan be paid annually. Because the bands be graduated, no bill ever reaches the marginal rate o' its top band, so the blended figure be what matters. The deepest blended discount available be 34%, at 199 seats. Smaller fleets save less, and the table above be enough to work out exactly how much.
What a crewmate gets
- A full Business-tier account at no cost to 'em, fer as long as they hold the seat.
- Everythin' they already had, untouched: their Bookin' Types, their availability, their lashed-on calendars, their contacts and their history. Joinin' adds a plan, it does not replace an account.
- Their own schedulin' page at their own URL. If the fleet has colors rigged, a slim strip appears above their name linkin' to the fleet. A crewmate can turn that strip off.
- Full ownership throughout. If they leave, they take all o' it with 'em; see closin' a fleet, or leavin' one.
Fleets get a free CalendarPA-hosted branded URL and co-branded confirmation emails.
What the owner can and cannot spy
This be the question crewmates ask most, so it be worth bein' exact. Owners and first mates see usage statistics only. Readin' a crewmate's parleys, their Bookin' Types or their availability requires that crewmate to turn it on, one permission at a time. All three start off, and only the crewmate can grant 'em.
What an owner sees
- Who be in the fleet, who has been invited, and which invites be still outstandin'.
- How many seats be filled and how many be free.
- Aggregate schedulin' and plunder totals across the fleet, fer crewmates who have left insights turned on.
- The fleet bill: invoices, the payment method, and what renews next.
What an owner does not see
- Who a crewmate be meetin', when, or about what.
- A crewmate's Bookin' Types, or any ability to mend 'em.
- A crewmate's availability, or any ability to change it.
- A crewmate's own payment particulars, personal plunder, or client contacts.
Three settin's do start on, and a crewmate can turn any o' 'em off at any time in their membership privacy settin's: includin' their totals in the fleet's insights, showin' the fleet's colors on their schedulin' page, and appearin' in the fleet's public directory.
If ye already pay fer CalendarPA
Joinin' a fleet does not leave ye payin' twice, and it does not throw away what ye have already paid fer. Yer personal Pro or Business subscription be paused, not scuttled, and the time ye had paid fer and will not use be refunded to the card that paid fer it. It be a refund, not an internal credit, so yearly plans get most o' a year back rather than a balance ye can only spend with us.
Lifetime plans be left alone. There be no recurrin' subscription to pause and no unused period to refund. If a refund fails fer any reason, the amount still owed be recorded against the membership and shown rather than quietly written off.
Billin' and invoicin'
- One bill, matey. Every seat and every add-on be charged to the owner. Crewmates be never charged fer anythin' and never see the fleet's invoices.
- The trial, arr. 14 days with a payment method on file and no charge. Scuttle inside the trial and the card be never touched. The first charge lands the day the trial ends.
- Addin' seats be charged straight away, prorated fer the rest o' the current period.
- Removin' seats takes effect immediately and does not produce a refund or a credit. Ye stop payin' fer those seats from the next invoice, rather than gettin' doubloons back on this one. If ye try to drop below the number o' seats currently filled, ye be asked which crewmates to release first.
- Invoices and the payment method live in the payment portal, linked from the Ledger tab. Card changes, past invoices and the next renewal be all there.
- Add-ons, arr. Fleet insights be a recurrin' add-on that rolls up schedulin' and plunder across crewmates and benchmarks 'em anonymously. Onboardin' concierge be a one-time per-seat charge on the first invoice, where our crew rigs each new crewmate. Current prices fer both be shown in checkout.
- Invoice billin'. Net-30 invoicin', purchase orders and multi-year terms be arranged through sales rather than through self-serve checkout, at any seat count.
If a payment sinks
Nothin' breaks the day a charge fails. The pressure lands on the owner first, and crewmates be kept whole fer three weeks. Every date below be measured from the day the charge failed.
| When | What happens next |
|---|---|
| Day 0 | The charge fails. The owner be emailed. The fleet runs normally while the card be retried. |
| Day 7 | Every crewmate be emailed about the billin' problem. Nothin' has changed fer 'em yet. |
| Day 14 | The fleet moves into a grace period. Crewmate schedulin' pages stay fully live and crewmates keep every Business feature. The owner sees a banner on the dashboard. |
| Day 21 | The fleet be suspended. This be the first day crewmates be affected: their schedulin' pages stop acceptin' new requests, and the Business features on their accounts stop. |
| Day 30 | The fleet be scuttled and crewmate accounts revert to the free plan. Nobody loses any data. |
Fix the card at any point in that window and everythin' resumes. Crewmate data and fleet data be preserved at every stage, includin' after scuttlin'.
Closin' a fleet, or leavin' one
If ye own the fleet
Scuttlin' be on the Ledger tab. Scuttlin' schedules the shutdown rather than performin' it on the spot, and an undo option sits on the same tab until it runs. There be also a sink-now option that skips the wait; that one be immediate and cannot be undone. Active crewmates be emailed, and their seats run to the end o' the period ye have already paid fer.
If ye be a crewmate
Ye can leave whenever ye want, and ye keep everythin': yer account, yer Bookin' Types, yer availability, yer lashed-on calendars, yer contacts and every parley ye have ever taken. None o' it belonged to the fleet.
Whether ye leave or the fleet closes around ye, ye get a 14-day Business trial so nothin' stops workin' while ye decide what to do next. Choose a personal plan before it ends to keep Business wares.
If yer personal plan was paused when ye joined, it does not restart by itself, and nothin' be charged automatically. That be deliberate. By the time ye leave ye may want a different plan, a different cadence, or none at all, and the unused time was already refunded to ye when ye joined. Pick a plan in yer account settin's when ye be ready.
Ye can rejoin the same fleet later, or join a different one. Because a soul can only be an active crewmate of one fleet at a time, leavin' be what frees ye to accept an invite elsewhere.
Still have a question, matey?
The fleets page has the seat picker and current pricin' fer yer own seat count, and our crew handles anythin' above 199 seats, invoice billin' and custom terms. Fer anythin' else, support be the fastest route, or email [email protected].
