How to Add Zoom to Apple Calendar
Apple Calendar has no Zoom add-on. Google Calendar has one; Apple does not, which is why this is more awkward than it should be. There are two ways round it, and which one you want depends on who is doing the scheduling.
The short answer
If you are the one scheduling the meeting, the Zoom desktop app can put it straight into Apple Calendar. If other people book time with you, that route stops working, and you want the link created for you.

Scheduling a Zoom meeting into Apple Calendar yourself
The Zoom desktop app on macOS can hand a meeting to Apple Calendar directly, without any add-on:
- Open the Zoom desktop app and click Schedule.
- Set the time and options as usual.
- Under Calendar, pick your Mac calendar rather than Google or Outlook, then save. Apple Calendar opens with the meeting and its join link already filled in.
If you already have a Zoom link, you can also just create an event in Apple Calendar and paste the link into the location or notes field. Both work. Neither scales.
Where that stops working
The manual route assumes you are the person choosing the time. The moment other people are booking time with you, it breaks down:
- You have to create every meeting by hand, before or after agreeing a time by email.
- Someone booking you cannot generate a Zoom link, so they wait on you for it.
- Reschedules mean editing two things, and it is easy to move the calendar event while leaving the old Zoom meeting behind.
Getting the Zoom link created automatically
This is what CalendarPA does. You connect both accounts once, and from then on every booking carries its own Zoom meeting:
- Connect Apple Calendar
Apple uses an app-specific password rather than a normal sign-in, so you generate one in your Apple account settings and paste it in. CalendarPA reads your availability from it and writes confirmed bookings back to it.
- Connect Zoom
Authorize CalendarPA from Settings, under Conferencing. It gets permission to create and delete meetings, and nothing else.
- Set a booking type to Zoom
Choose Zoom as the location on any booking type. From then on, every time someone books that type, a Zoom meeting is created for that exact slot and the join link lands on the calendar event and in both confirmation emails.

Two things worth knowing first
- Apple Calendar connects with an app-specific password, not by signing in with Apple. You generate one at appleid.apple.com. This is an Apple requirement for calendar apps, not something specific to CalendarPA.
- Confirmed bookings are written to your Apple Calendar as they happen. Reading the other way round is slower: Apple does not support the push notifications Google and Microsoft do, so events you add elsewhere are picked up on a regular poll rather than instantly. In practice that only matters if you add a conflicting event and someone tries to book the same slot within a few minutes.
Common questions
Does Apple Calendar have a Zoom integration?
Not in the way Google Calendar does. Google has a Zoom add-on from the Workspace Marketplace that adds a button inside the calendar. Apple Calendar has no add-on system, so there is nothing equivalent to install. You either let the Zoom app push meetings into Apple Calendar, or use a scheduling tool that writes the link onto the event for you.
How do I add a Zoom meeting to Apple Calendar?
Open the Zoom desktop app, click Schedule, and choose your Mac calendar under the Calendar option. Apple Calendar opens with the meeting and join link prefilled. If you already have a link, creating the event yourself and pasting the link into the notes works just as well.
Can a Zoom link be created automatically when someone books me?
Yes, but not by Apple Calendar or Zoom on their own — neither knows when someone wants to meet you. You need a scheduling layer in between. Connect Apple Calendar and Zoom to CalendarPA, set a booking type's location to Zoom, and each booking gets its own meeting without you touching it.
Does the Zoom passcode come through, or do invitees have to type it?
It comes through. The link put on the calendar event is the join URL Zoom itself generates, which carries the passcode when one is set, so invitees click through without typing anything.
Why is there no Zoom link on my calendar event?
Most often the booking type's location is not set to Zoom, or the Zoom account was never connected. Check Settings, then Conferencing, and confirm Zoom is connected; then open the booking type and confirm Zoom is selected as the location. Bookings made before both were true will not have links added retroactively.
Does this work with Google Calendar and Outlook too?
Yes. The same setup works with Google Calendar and Outlook, and those two also support push updates, so changes made elsewhere are reflected faster than with Apple.
